Microsoft Word includes a built-in Columns feature, but it isn’t the best option if you’re trying to keep multiple columns of information aligned with one another — it’s designed to wrap text between columns, like in a newspaper. To line up data more easily and cleanly than spacing out your words by hand, create your own columns by setting up tabs in your document.
In Word for Mac 2011 Essential Training, author Maria Langer shows how to create, format, and print a wide variety of documents in Microsoft Word 2011.The course covers building outlines, formatting text and pages, working with headers and footers, using themes and styles, adding multimedia, and more. The second group on this tab contains the footnote and endnote features we want. To add a footnote, place your insertion point in your text where you want the footnote to appear, and then click the “Insert Footnote” button. It’s far easier to create a neat list by setting up the formatting first, rather than trying to clean up retroactively. Before typing in a single word of information, we’ll set the tab stops. You can do this in a completely empty document or on a blank page within an existing document. These stops tell Word where to place the input cursor after pressing the Tab key. To create a two-column list, we only need one tab, as the left-hand column automatically lies flush with the left side of the page. If you need additional columns, place more tab stops.
To create a tab stop, click and hold on the ruler atop the page. (If you don’t see the ruler, open “View” and click “Ruler.”) Drag the mouse left or right, and you’ll see a dotted line divide the page into two columns. When the line appears in the position you want, let go of the mouse button to create a tab. You’ll see an L-shaped marker on the ruler at this position.Afterwards, Enter Your Information
With the tab in position, begin entering text into the document. To move from the left column to the right column, press Tab one time. After typing in the second column, press Enter to return to the first column on the next line. If your document contains more than one tab stop, press the Tab key again to move to each in order from left to right.

For clarity, I’ve separated typed words and keypresses into red and purple text, respectively. Note how the entire entry never uses the space bar. You should only ever press the space bar between words in the text you’re entering — never to adjust position. If you realize you need to reposition the columns after you’ve started, you don’t need to re-enter all your text. Start by selecting all the text you’ve already entered into the columns. Click and drag the L-shaped tab marker on the ruler to a new position to shift the column. The existing text will move and new text will fall in line with it. If you accidentally click elsewhere in the ruler and create a second tab stop, click and drag it straight upwards. Let go of the button with the mouse cursor off the ruler to erase the stop.

If you want text in the right-hand column to appear flush with the right edge of the page, place a right-aligned tab stop on the right edge of the white section of the ruler. To create a right-aligned tab stop instead of a regular (left-aligned) tab stop, click the L-shaped tab stop icon on the left side of Word’s window until it changes to a backwards L. Alternatively, use the Tabs window and select “Right.”
